Job Description:
Our client, a leading global asset management firm with an
office in Summit, NJ, is looking for a long-term temp Office
Coordinator/ Receptionist to support their office! This role starts
ASAP, with a fully open-ended temp contract (this role isn't going
away). This role is fully onsite Monday through Friday, 8am-5pm
with a 30-minute unpaid lunch break. Hourly pay rate is 30/hr.

Office Services
Managing inventory of onsite office supplies and ordering inventory
as required
Coordinate delivery of incoming mail
Assist with external mailings
Stock paper and toner in copy room printer
Facilities Services
Oversee work orders for the site and be a liaison to the FM team in
NYC
Manage day to day issues and potential complaints at the
facility
Inspects conference rooms for cleanliness, reserves conference
rooms, and coordinate special setups.
Conduct routine walkthroughs and assessments of the facility to
ensure that they are clean, stocked, maintained and appropriately
utilized
Inspect vendor work to ensure compliance with service level
agreements and firm policies
Works collaboratively with building management and service vendors
for reactive and preventative maintenance items
Partner with 3rd party vendors and landlord as needed
Hospitality & Room Management Services
Oversight of hoteling software and reservations for hoteling
employees
Resolution of office/workstation reservation issues
Support data collection, analysis and reporting of hoteling and
space utilization data
Coordinate catering or food service for special events at the
facility (ie. weekly bagel order).
Ensure cleanliness of common areas and kitchen area
Stock pantry, refrigerator and kitchen supplies daily
Reception Services
Manage the front desk for incoming guests and employees
Assist guests and candidates with onsite inquiries
Qualifications & Requirements
Minimum of 3+ years' prior experience in hospitality, facility /
property management, operations, and/or knowledge of commercial
real estate, preferred.
Ability to manage multiple priorities and deliver results in a
fast-paced, pressurized environment.
Strong work ethic, a proactive self-starter with positive
attitude
Exceptional customer service skills with a passion for
hospitality
Excellent communications skills with attention to details
Advanced time management and prioritization skills, essential
Capable of being both part of a cohesive team, and possess the
ability to work independently
Strong understanding of customer service, service delivery and
client relationship management
Familiarity and understanding of various service specific systems;
including but not limited to EMS, Building Engines, Service Now,
Corrigo or another workflow system a plus
Proficient in Microsoft Office, Excel, PowerPoint, and Word
